Two different groups of people

This portal holds data about two groups, and it matters which one you are.

• Partner firm staff — the accountants who log in. We hold your name, work email address, the firm you belong to and your activity in the portal, because that is what an account is.
• Your clients — the people a partner firm adds to the portal so they can be introduced to a financial adviser. Where a firm has loaded its own client list, we hold that data on the firm's instructions and for the firm's purposes. Once a client is actually introduced to us and we begin advising them, we become responsible for that data in our own right, and our full client privacy notice applies to the advice relationship.

What we hold about clients

Name, contact details, the firm they belong to, the stage their introduction has reached, and the notes a partner records about what the client needs. Where a client completes one of our tools — the Financial Freedom Score or the Personal Budget — we hold the answers and the result, because that is the point of the tool and it is what the adviser picks up.

Why, and on what basis

To run partner accounts, to move introductions along, and to give a regulated adviser what they need to advise properly. For partner staff and for firms' own records our basis is legitimate interests and the contract we have with the firm. For clients we advise, it is the contract for advice and our legal and regulatory obligations as an FCA-authorised firm. Where we send optional educational emails, it is consent, and every one of them can be unsubscribed from.

Who processes it for us

• Supabase — the database behind the portal, where accounts and client records are stored, encrypted in transit and at rest.
• Netlify — hosting, which logs standard access data such as IP address.
• Brevo (Sendinblue SAS, France) — our email platform. It receives a name and email address in order to send the welcome and follow-up sequences, and processes it in the EU.
• Intelliflo Office — our advice back-office system, which holds the client file once an introduction becomes an advice case, and which reports progress back to the introducing firm.
• GoHighLevel — the CRM holding our own sales pipeline.
• Apollo and Companies House — used to research and enrich prospective partner firms, from business contact information and the public register. These are not used on clients.

All of them act on our instructions under written terms. We do not sell personal data, and we do not share it for anyone else's marketing.

How long we keep it

Partner accounts are kept while the firm is in the programme and for a year afterwards. Introductions that do not proceed are deleted within two years. Where advice is given, the FCA and the law require us to keep the file for much longer — for pensions, investments and protection that can mean indefinitely, because a complaint or a claim can arise many years later and we need the file to answer it fairly.

Your rights

You can ask for a copy of what we hold about you, ask us to correct or delete it, restrict or object to how we use it, or ask for it in a portable form. Email andy.jackson@eandgfs.com and we will respond within one month. If you are a client of a partner firm and your request is about records the firm loaded, we may need to pass you to that firm, because it is their data and their decision — we will tell you if so rather than leave you waiting.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk, and separately to the Financial Ombudsman Service about the advice itself.
